1) Introduction

OptimaPlus (“OptimaPlus”, “we”, “us”) provides a workforce proof-of-service platform through a mobile app and web dashboard (the “Services”). This Privacy Policy explains what data we collect, how we use it, and the choices available to users.

OptimaPlus is intended for business / enterprise use. Users typically access OptimaPlus through accounts provisioned by an employer or organization (“Tenant”).

2) Who Controls the Data (Tenant / Employer)

In most deployments, the Tenant (your employer or contracting organization) is the data controller for workforce operational data (tasks, evidence, location during duty, reports). OptimaPlus acts as a service provider / data processor and processes data under the Tenant’s instructions.

If you are a worker using OptimaPlus through your employer, your Tenant administrators may access and manage data associated with your account (such as tasks assigned to you, proof-of-service evidence, and location while tracking is enabled), subject to their policies and applicable law.

3) Data We Collect

We collect data to operate task workflows, generate proof-of-service outputs, and support safety/dispatch visibility.

A) Account & Profile Data

  • Name
  • Email address
  • Phone number (if provided)
  • User IDs (e.g., unique internal ID / Firebase UID)
  • Tenant membership / role (e.g., worker, supervisor, admin)

B) Location Data (Precise Location)

  • Precise GPS location and related metadata (e.g., timestamp, accuracy) when tracking is enabled.
  • Location may be collected in the background when you are on duty / actively tracking / executing tasks, depending on Tenant configuration.

C) Proof-of-Service Content (User-Generated Content)

  • Photos, videos
  • Audio recordings
  • Digital signatures
  • Task notes / form entries
  • NFC scan events (e.g., tag ID / scan timestamp) where enabled

D) Device & Technical Data

  • Device identifiers needed for security and notifications (e.g., push notification token)
  • Basic device info (e.g., OS version, device model) if required for operations/support

We do not sell personal data and we do not run third-party advertising networks inside OptimaPlus.

4) How We Use Data

We use collected data for the following purposes:

App functionality / service delivery

  • Create, assign, and track tasks and task status
  • Capture and sync proof-of-service evidence (photos/video/audio/signatures)
  • Enable offline operation and synchronization when connectivity returns
  • Verify site presence via NFC and/or location (where enabled)

Operational visibility (Tenant use)

  • Show supervisors/admins real-time progress and last known updates while workers are tracking/on duty
  • Generate proof-of-service reports and operational dashboards

Fraud prevention, security, and compliance

  • Authenticate users and enforce role-based access controls
  • Protect data integrity and investigate suspicious activity

Communications

  • Send service-related notifications (e.g., task assignment updates), if enabled

5) Background Location — Important Disclosure

OptimaPlus may collect precise location in the background while tracking is enabled (e.g., on duty / active job) so that the Tenant can:

  • validate arrival/departure at work sites,
  • support dispatch visibility,
  • and support worker safety and compliance reporting.

Controls:

  • Location collection is tied to permissions and is typically enabled only when tracking is turned on.
  • Users can control location permissions via device settings. Some Tenants may require location tracking for assigned duties.

6) How We Share Data

We share data only as needed to provide the Services and for the Tenant’s authorized business purposes:

Within your Tenant

Supervisors/admins in your Tenant may view task progress and proof-of-service evidence. Access is governed by Tenant roles and permissions.

With the Tenant’s customer (Proof-of-Service delivery)

Tenants may generate and deliver proof-of-service reports to their customers. These reports may include evidence such as photos, signatures, timestamps, and (if configured) location verification details.

Service providers

We use vetted service providers to host and operate the platform. These providers process data on our behalf under contractual confidentiality and security obligations.

Legal / safety

We may disclose information if required by law or to protect the rights, safety, and security of OptimaPlus, our customers, users, or the public.

7) Data Retention

We retain data for as long as necessary to provide the Services and as directed by the Tenant, including for ongoing operations, audit/compliance needs, and contractual requirements.

8) Your Choices & Rights

Depending on your role and applicable law, you may have rights to access, correct, export, or delete personal data.

If your account is provided by a Tenant (employer/organization), please contact your Tenant administrator first for requests about task records, evidence, or location logs.

9) Security

We use administrative, technical, and physical safeguards designed to protect data, including encryption in transit, access controls, and secure cloud infrastructure.

10) International Transfers

Your data may be processed in countries other than where you live. Where required, we use appropriate safeguards for cross-border transfers.

11) Children’s Privacy

OptimaPlus is intended for business use and is not directed to children under 13.

12) Changes to This Policy

We may update this Privacy Policy from time to time. We will update the “Last Updated” date and, where appropriate, provide additional notice.
